Use education and nonprofit pricing
Many suppliers offer education discounts, and eligible nonprofits can access donated or discounted technology through programmes such as TechSoup. Ask before you buy.
Get more than one quote
Compare at least two suppliers for larger items. Quotes also strengthen your budget justification.
Combine funding sources
Use the grant for items it allows and other funds (PTO, sponsorship, district budget) for items it excludes.
Plan the whole life cost
Include consumables, licences and replacement parts so the project doesn't stall after year one.
Ask before re-budgeting
If prices change, contact the funder before moving money between budget lines. Many funders allow changes with approval.
Track actual spending
Record what you actually spent against each line. It makes reporting easy and helps your next application.
